Some athletic programs need to form combined teams where players, parents, and coaches from multiple schools share one roster and schedule. In Doodlio, there are two ways to handle this scenario:
1. Team Merge (Recommended)
Using Team Merge, each school manages its own team registration while merging rosters under a single “host” school team. This approach allows:
- Each school’s roster to sync automatically to the host team.
- All team members to access the merged team’s calendar, communications, and updates, regardless of their “home” school.
- Registrations, fees, and administrative responsibilities to remain with each individual school.
Sending a Merge Invitation (Host School)
If you’re the school that will host the combined roster, follow these steps to invite other schools to merge:
- Click Sports Management from your Doodlio dashboard.
- Select Manage Sports Season.
- In the left column, choose the sport you want to manage.
- Find the desired team and click the Action button.
- Select Send Merge Invitation.
- A list of teams in the same division will appear. Check the boxes next to the teams you want to invite.
- Click Send Merge Invitation.
Accepting a Merge Invitation (Invited School)
If your school is invited to join the host’s combined team, follow these steps:
- Click Sports Management from your Doodlio dashboard.
- Select Manage Sports Season.
- In the left column, choose the same sport.
- You’ll see a notification: “This team has been invited to merge with…”
- Click the Accept Merge link to confirm the merger.
Once the invited school accepts, the rosters, coaches, and parents become part of the host school's team environment. Each party continues managing its own rosters and registrations, but everyone shares the same schedule and communication channels in Doodlio.
Additional Team Merge Features
- Automatic Roster Updates: If new players register at a non-host school after the merge, those players automatically appear on the merged team roster.
- Shared Team Communications: Parents and coaches from all merged schools receive the same team messages, events, and announcements in real time.
- Shared Scheduling: All games, practices, and events for the merged team appear on a single combined calendar.
2. Online Registration at the Host School
As an alternative, you can direct every participant to register online at the host school. In this scenario:
- Parents create accounts and register directly under the host school.
- All rosters and fees are managed by the host school alone.
- Non-host schools do not have separate rosters in Doodlio; instead, those participants appear under the host team’s roster.
This option might be simpler for smaller programs but usually means one school is responsible for collecting all registrations and fees.
Which Method Should You Use?
- Team Merge is best if each school wants to manage its own roster registrations but still share the same team space. Rosters, communications, and scheduling are combined under a host team without forcing every parent to create an account at the host school.
- Online Registration at the Host School is best if the host school prefers to handle all registration logistics and fees in one place, with the non-host schools opting out of any official registration process within Doodlio.
