Overview
As an athletic director, ensuring your venues are available for league scheduling is a two-step process. First, you need to indicate which of your venues are available for scheduling. Second, you must enter any blackout dates and times when your venues are not available.
League-Level Settings
Before setting your venue availability, it is important to understand that the league defines the overall season play dates and the daily start and end times for games. Additionally, the league may define blackout dates (e.g., holidays or special events) when no games can be scheduled. These settings apply to all teams and venues within the league.
As an athletic director, your role is to confirm which of your venues should be available for scheduling and to enter blackout dates and times that apply to your facilities.
Step 1: Indicating Venue Availability
To make your venue available for league play during the season, follow these steps:
- Click on Sports Management from your homepage dashboard.
- Select Sports Venue Assignments.
- At the top of the screen, select the sport for which you want to assign venues.
- Check each venue that should be available for league play for the selected sport.
- Note: There is no save button—your changes are saved automatically.
Once you complete this step, the league scheduler will recognize your venue as available for scheduling games within the league-defined play dates and times.
Step 2: Entering Venue Conflicts (Blackout Dates & Times)
While your venue is available for league play, there may be certain dates and times when it is not available due to school events, maintenance, or other conflicts. To prevent games from being scheduled during these times, you must enter venue conflicts.
How to Enter Venue Conflicts:
- Click on Sports Management from your homepage dashboard.
- Click on the Venue Conflicts link.
- In the dropdown at the top of the screen, select the venue for which you want to enter conflicts.
- If your venue does not appear in the dropdown list, add it using the Facilities Management screen.
- Click the Add a Conflict button to enter a new conflict, or click on an existing conflict to edit it.
- A popup window will appear where you can enter the conflict details:
- Title: Provide a brief title for the conflict (e.g., "School Assembly"). (Required)
- Date and Time: Enter the specific date(s) and time(s) when the venue is unavailable.
- Click Add Conflict when adding a new event or Update Conflict when modifying an existing event.
Once entered, these conflicts will prevent games from being scheduled at your venue during the specified times.
