2. Understanding how to Update a Game
When you open the Edit Game screen, you’ll see the following main form:
-
Teams
-
Home Team / Away Team drop-downs let you select any team in the division.
-
If the matchup isn’t set in stone, pick “TBD” (no team assigned).
-
The system automatically checks if you chose the same team for both home and away. A warning appears if you do.
-
-
Notifications
-
The “Send notifications” checkbox determines if email/text/push alerts go out to the teams and athletic directors about these changes. Notifications will be delivered to all teams affected by the change. For example, if you change the home team to a different team, the original team will receive a "Cancelled Game" notification and the new team will receive a "Added Game" notification.
-
-
Location
-
If the game is scheduled (
Status = Scheduled to be played), you’ll see a Location text field to type in a venue name. -
The list narrows automatically as you type, or you can select TBD if no venue is determined.
-
-
Date & Time
-
If the game is scheduled, you’ll see a date/time picker. You can enter the day and time directly.
-
If no date/time is determined, check “Date & Time TBD”; this hides the date/time fields, and sets the game to an unspecified schedule.
-
-
Game Status
-
Scheduled: The game is on the calendar with a set date/time and location.
-
Unscheduled: The game still exists but is not assigned to a date/time or location. This will remove it from calendars until re-scheduled. Use Manage Games to schedule an unscheduled game.
-
Cancelled: The game is called off entirely and removed from schedules.
-
-
Non-Conference
-
Check this if the game should not count toward standings (e.g., a scrimmage).
-
-
Game Description
-
Optionally type notes (e.g., “Rescheduled due to weather,”). The description will be displayed everywhere the game is displayed, including public websites.
-
-
Conflict Checks
-
Once you pick teams, date/time, and location, the Conflict Checks section lists potential scheduling overlaps for the selected teams and venue.
-
You can still finalize the game even if there are conflicts (some leagues allow overlaps). The system just ensures you’re aware.
-
-
Previous Updates (Log)
-
The “Previous Updates” table (if present) shows a log of changes: what was changed, by whom, and when.
-
-
Save or Cancel
-
Save applies your changes immediately.
-
Cancel discards any edits.
3. “Find Available Slots” Button
If you need help locating an available timeslot to reschedule a game, use the "Find Available Slots" button to browse available venues. The “Find Available Slots” button appears near the date/time fields and appears if the Game Schedule Status drop down is set to "Scheduled". Clicking the button will opens a new window:
-
Slot Finder
-
Searches your league’s calendar for timeslots that do not conflict with either team’s existing games or the chosen venue’s schedule.
-
Shows a list of available combos (date/time/venue). You can click one to set the game’s new details automatically. When you click a slot, the venue calendar will be updated to show the selected date and location.
-
-
Venue Calendar
-
A day-by-day view in which you can manually pick any timeslot.
- A calendar navigation bar appears with dates to select from.
- League defined play dates are highlighted in blue
- The currently selected date displays a grey background
- The venue calendar displays existing games, venue conflicts, and team conflicts for the selected date.
-
Just click in the calendar grid to select a specific date/time. The system populates those changes back into the main Edit Game form.
-
This Slot Finder step is optional—if you prefer to manually select a date/time yourself, that works too.
4. Handling Conflicts
-
Team Conflicts: Shown in the main form’s “Conflict Checks” section or highlighted in the Slot Finder. Overlaps with the same team on the same date or time appear in red.
-
Venue Conflicts: Displayed similarly. If another game or event occupies the same time at that venue, it’s flagged.
5. Scenario Examples
-
Changing the Home Team
-
Select a different home team from the Home Team drop-down.
-
If the game was previously assigned, the old team gets a cancellation notice, and the new team gets a “new game” notice (when “Send notifications” is checked).
-
-
Rescheduling a Game from April 5 to April 19
-
Change Status from “Unscheduled” to “Scheduled” (if it was unscheduled).
-
Either type a new date/time or click “Find Available Slots” and pick April 19 at 10 AM.
-
The conflict checks refresh; if everything looks good, click Save.
-
-
Marking a Game as Cancelled
-
Choose Status = “Cancelled” from the drop-down.
-
The system removes the game from schedules, and cancellation notifications are sent to both teams (and ADs) if “Send notifications” is checked.
