If you need to charge for uniforms, you can use the Discounts and Fees feature to define a fee. If everyone is charged the fee, it should be setup as a Processing Fee. If some players do not have to pay the fee (for example, they already have a uniform), it should be setup as an Optional Fee.
Note: These steps will allow you to charge parents for uniforms. If you want parents to select uniform sizes, setup an online form to prompt them to select the uniform size for their child.
Add a Required Uniform Fee
Example: All players who register for Basketball are charged a $30 uniform fee. You want the fee to be displayed on the statement so that parents are aware of it.
- Click on Sports Management
- Click on Online Registration Management
- Click Manage Discounts and Fees
- Select the registration type that the fee applies to, such as Sports Player Registration
- Select a period. If you have not previously defined a period, you will need to start a new sports registration and click Add a Period on the registration settings.
- Select the sport the fee applies to. In the example above, you would select Basketball.
- Click on the Fees tab just below
- Click New Processing Fee on the right side of the screen
- Enter a title, such as Uniform Fee
- Select the dollar amount option and enter the amount of the fee. In the example above, you would enter $30.
- Click Add Fee to save it
Parents will see the Uniform Fee as a line item on their statement for each player they register and the fee amount will be added to the total amount due.
Add an Optional Uniform Fee
Example: Assume your basketball players may have kept their uniform from the prior year. You charge $50 for the uniform, but only if the player needs a new uniform.
- Click the New Optional Fee on the right side of the screen
- Enter a title. The title will be displayed to the user as a check box option. For example, you might enter "I need a uniform". See an example below. This prompt will appear for each player the parent registers.
- Enter a Statement Descriptor. This will be the description of the charge on the statement when the fee is applied.
- Enter a description. The description is displayed just below the selection check box and can be used to give the user instructions. For example, "Select this option if you do not have a uniform from last year and need a new one."
- Select Active to enable this fee.
- Enter the dollar amount of the fee
- Click Add Fee to save it
Example settings shown as they appear on the checkout screen
Offer Multiple Uniform Options
If you need to charge a fee for part of a uniform, you can enter separate optional fees for each part and for a whole uniform.
Example: You want to charge players based on the parts of the uniform they need. You charge $50 for the entire uniform, $30 if they only need a jersey, and $20 if they only need shorts.
You will repeat the steps above for Add an Optional Uniform Fee three times:
1. Create a fee for the full uniform:
- Statement descriptor: Full Uniform Fee
- Title: I need a full uniform
- Description: Select this option if you need a new jersey and shorts.
- Amount: $50
Create a fee for the jersey only:
- Statement descriptor: Uniform Jersey Fee
- Title: I need a jersey only
- Description: Select this option if you need a new jersey but do not need shorts.
- Amount: $30
Create a fee for the shorts only:
- Statement descriptor: Uniform Shorts Fee
- Title: I need shorts only
- Description: Select this option if you need shorts but do not need a jersey.
- Amount: $20
When checking out, parents will see three options for ordering a uniform.
